Who We Are

ICU Network, also presented as “iCu The Network,” “ICU,” “we,” or “us,” is operated by iCu The Network LLC, run by Chavis Aaron. We operate icu.network to share information about fashion and creative events, receive participation applications, and respond to event-interest requests. For privacy questions, corrections, or deletion requests, email chavis@icu.network.

Information You Provide

Applications collect information for your selected role and event. This may include your name, email, phone number, location, availability, social-media handles, portfolio links, experience, interests, and answers about your work or participation. Some roles ask for business or product details, performance and equipment needs, or information about accompanying crew and guests.

Model applications request confirmation that you are at least 18, gender, measurements, shoe size, representation details, and photographs or a comp card. Depending on the role, you may upload photographs, documents, video, or audio samples. Submit only material you have permission to share and avoid unnecessary personal information about other people.

Volunteer applications ask about accommodations or other needs. Provide only what you want ICU to know for arranging participation; do not include medical records or unnecessary health details.

Event-interest requests collect your name, email, phone number, selected event, and consent to follow up and keep your request on file. We also receive information you send when contacting us directly.

How We Use Information

We use applications and files to review participation in the current event, coordinate with applicants, respond to questions, and potentially contact applicants about future ICU opportunities. You may contact chavis@icu.network about your information or future-opportunity contact. We use event-interest details to record your request and follow up about the selected event. We send submission confirmations and operational notifications.

We process submission references, consent records, timestamps, upload details, delivery status, and technical information to operate forms, recover interrupted submissions, prevent duplicate processing, investigate errors, and protect the service from abuse.

We do not sell application information or photos, use them for advertising, or put them into AI tools.

Storage, Service Providers, and Access

Our website uses Codex Sites and Cloudflare infrastructure to host and operate the service and store application and event-request records. Uploaded application files are stored in ICU-managed Google Drive folders. Application details and event-interest records are also recorded in Google Sheets. Gmail sends submission confirmations and internal notifications.

ICU team members handling applications and event requests may receive or access information for that work. Photography and videography notifications also go to the relevant department lead. Access to copies in Drive, Sheets, and email depends on the access arrangements ICU maintains in those services. Our hosting, storage, security, and email providers process information as needed to operate these services.

Cloudinary delivers website images and videos. Cloudflare Turnstile protects forms against automated abuse. Browser connections to these services disclose technical information needed to deliver content or security checks, such as network and browser information. See the privacy notices for Cloudflare, Cloudinary, and Google.

Google Account Connection

The Google connection is for authorized ICU administrators. Applicants do not need to connect a Google account to use the application forms.

For administrator sign-in and connection, we use Google account identity information, including the account identifier and email address. The application requests permission to manage Drive files used with the app, access Google Sheets, and send email through Gmail. The Sheets permission covers the connected account’s spreadsheets; the application uses configured ICU intake spreadsheets for its workflow. The Gmail permission sends messages and does not read the inbox.

The application stores connection details and encrypted authorization tokens to continue delivering submissions without requiring administrator sign-in for each submission. It stores Google resource identifiers and delivery results to track files, spreadsheet entries, and sent notifications.

ICU’s use and transfer of information received through Google APIs will follow the Google API Services User Data Policy, including its Limited Use requirements. We use this information for the disclosed intake, administration, and communication functions. We do not sell it, use it for advertising, or use it to train general-purpose AI models. Human access to Google-derived information requires the user’s affirmative agreement to review the specific information, a necessary security purpose, or a legal obligation.

Administrators can revoke access through their Google Account connections. Revocation stops future authorized access through that connection; it does not itself delete records, files, or messages already created.

Browser Storage and Security

The application form saves eligible draft answers in browser local storage so you can resume. Uploaded file contents and the dedicated accommodations answer are excluded. Drafts have a seven-day validity window from the last save and are removed when an expired draft is next read. This does not mean your browser automatically deletes the data after seven days. Clear site data in your browser to remove local drafts.

The event-interest form uses session storage to retain a pending request for safe retry. It clears that record after confirmed receipt or a rejected request. Administrator sign-in uses security cookies to maintain the authenticated session and protect sign-in.

The service uses encrypted connections, administrator access controls, authorization-token encryption, submission validation, and anti-abuse checks. No online service can guarantee absolute security.

Retention and Deletion Requests

Submitted records and files are separate from browser drafts. Our usual retention period for applications and photos is two years, for current applications and possible future opportunities. Records are not automatically deleted at the two-year mark. The current intake system does not automatically expire completed applications or event-interest records.

To ask about, correct, or request deletion of your information, email chavis@icu.network and include your submission reference if available. We may need information to verify that the request concerns your own record. Do not send identity documents unless we explain why they are needed.

Application deletion tools remove application details from the website database, redact the associated spreadsheet row, and move managed application folders to Google Drive trash. A limited deletion record remains to track the operation. This process does not automatically erase previously sent emails, downloaded copies, or provider backups. Those copies and event-interest deletion requests require separate handling. Administrator connection details and encrypted tokens are stored to maintain the connection; revoking access does not itself erase stored records. Contact us about deletion of these records as well.

Age and Participation

The model application requires confirmation that applicants are at least 18. For non-model roles, ICU permits minors to participate with a parent present at the show.

Other Websites and Policy Changes

We link to third-party ticketing, social-media pages, galleries, and external sign-up forms. Information you provide directly to those services is handled under their own notices and terms. This policy describes ICU’s website and intake services and does not replace those providers’ policies.

We will update this policy when practices change and show the updated effective date. If a new use requires consent, we will seek it before using information for that purpose. Contact chavis@icu.network with privacy questions.
